Your first service with RoundTab

Check your menu, tables, payment choice and staff workflow before your first service.

Work through these checks before inviting guests to order. Keep your venue Closed while you prepare. If anything is unclear, ask us for help or email support@roundtab.com.

1 Check your menu

In the Manager, use Products and Categories to check names, serving sizes, prices and descriptions. Enable the products you want to sell, check they are not marked out of stock, and put them in visible categories. Check their stations are open for the service you plan to offer.

Ready when: products, stock availability, prices and category visibility are set correctly. At opening, check the guest menu on a phone before inviting orders. A product can remain available through another visible category when one category or station closes.

Help: Add a product · Categories, stations and ordering.

2 Check tables and QR codes

Open Tables and check the labels match your venue. Use QR Codes → Print for ordinary paper printing; you do not need a chit printer. Follow the A4 printing instructions.

Ready when: the printed labels match your tables and each code opens the correct venue. While the venue is Closed, you may only see the closed page. Keep the codes off the tables until the final opening check in step 5 confirms the selected table in the basket. A venue page opening on its own does not confirm the table. Replace incorrect or unreadable codes before service.

3 Choose how guests pay

In Settings → Billing, choose I want payments to be handled online for Stripe, or I want to handle payments myself to collect payment separately. Complete the setup shown for your choice and check your applicable charges before opening. For separate collection, complete the business details and billing-card setup shown. That card pays your RoundTab charges; it does not collect payments from guests.

Ready when: you understand where payment is collected and who checks it. For Stripe, confirm the correct business account is ready for live payments. For separate collection, staff must collect payment through your usual process, then use Mark as Paid on the order. This records payment in RoundTab; it does not charge the guest. Avoid charging a guest twice. If the setup or payment status is unclear, ask for help before accepting orders.

4 Prepare the team

Open Live Orders on the staff device you will use. Check its connection, power and screen visibility in the service area. Agree who watches for new orders, who prepares them and who takes them to the table. For paid orders, use Mark as Received when picked up and Mark as Completed after fulfilment. With separate collection, use Mark as Paid only after you have collected payment; the fulfilment controls then become available. A Stripe order waiting for payment is not ready to fulfil.

Ready when: the responsible staff member can reach the order screen and explain the payment and fulfilment routine. Do not rely on an email notification alone. If printing is part of your workflow, confirm your own printer setup separately using the printer guide; ask us before relying on a printer or till connection.

5 Check safely and open when ready

Check the menu, printed codes and staff screen first. Payments Enabled is an ordering/payment control, not proof of Stripe test mode. Do not use a real card as a test or assume the public demo is an isolated training venue. Ask us to arrange any checkout rehearsal with the payment mode and notifications checked first.

Ready when: the setup checks above are complete and the team knows the fallback below. In Settings → Cart, ordering needs both Open and Payments Enabled, including when you collect payment separately. The billing choice determines how guests pay; Payments Enabled does not choose Stripe for you. Use Set as Open only when staff are ready to receive genuine orders. Before putting codes out, scan each code you will display and confirm the guest menu, prices and selected table in the basket on a phone. You can check the basket without submitting an order. If a code selects the wrong table, keep it out of service and correct it first. If the controls do not match the setup you expect, contact us before proceeding.

6 Run service and review it

Watch the first genuine order through the chosen payment process, preparation and delivery to the correct table. Record when it was received and fulfilled, any problem and any help needed. After service, use Set as Closed when you want to stop new orders and deal with outstanding orders separately.

Complete when: a real guest order has been paid through your chosen method and fulfilled. A practice order or a ticked setup checklist does not count as your first real service.

If setup or service stalls

If ordering is unavailable or you cannot reliably receive orders, tell guests and take orders and payment through your usual staffed process. When you have access, use Set as Closed to pause new orders. Closing does not cancel or refund existing paid orders. Check existing orders and payment status before asking anyone to reorder or pay again.
